A working checklist for restoration owners, ops managers and lead estimators evaluating AI estimating software in 2026. Copy it, tick the boxes during each demo, and compare answers side by side afterwards. It is built around one goal: getting a reliable Xactimate estimate out faster without giving up control of the scope.

Examples refer to Axiom, an AI estimating tool for property restoration, because its published workflow covers most of the items below. If you want the product details behind each example, learn more on its site. Then run every vendor through the same list.

Checklist on a clipboard next to a laptop showing a restoration estimate

Section 1: Inputs

  • [ ] Accepts the photos my crews already take (no new capture routine required)
  • [ ] Pulls photos from the sources we use (Axiom: CompanyCam, Google Drive and DocuSketch shareable links, drag-and-drop, iOS app)
  • [ ] Accepts measurements in the formats we have: 3D scan, existing ESX, 2D PDF floor plan or typed rooms
  • [ ] Can work from a photo of a hand-drawn sketch
  • [ ] Uses job details like loss type and date of loss
  • [ ] Reads field notes, not just images

Section 2: Output

  • [ ] Produces a native .esx file, not a PDF or a portal view
  • [ ] Opens directly in Xactimate, a Verisk product
  • [ ] Reprices on our own price list
  • [ ] Organises the estimate by room
  • [ ] Uses Xactimate codes with editable line items and quantities
  • [ ] Covers the job types we write: mitigation, put-back, exterior

Section 3: Control and review

  • [ ] Every output is a draft until an estimator approves it
  • [ ] Review happens room by room, not as one long list
  • [ ] When photos do not settle an item, the tool asks a question instead of guessing
  • [ ] Estimators can add, remove and edit anything before approval
  • [ ] The vendor can explain where line items and quantities come from (Axiom says they are drawn from thousands of real claims)

Section 4: AI estimating software extras worth checking

  • [ ] Converts an existing Xactimate estimate PDF into an editable ESX
  • [ ] Compares a carrier estimate with ours line by line for supplements
  • [ ] Has a demo recorded in the real product, not a mock-up

On that last point: Axiom's walkthrough is about six minutes long and was recorded in the shipped product in July 2026. In the walkthrough demo, an approximately $8,000 water loss produced 33 line items in a little over a minute before the ESX opened in Xactimate.

Section 5: Pricing and team

  • [ ] Pricing model is clear (per seat, per estimate, or allowance)
  • [ ] No per-seat fees for field techs and office staff
  • [ ] Allowances fit a normal month and a storm month
  • [ ] There is a low-cost way to test on our own file

Reference point, at the time of writing (October 2026): Axiom Starter is $899/month for 15 estimates, 15 PDF-to-Xactimate conversions and 15 comparative estimates; Pro is $2,500/month for 50 estimates with unlimited conversions and comparisons; Enterprise is custom. All plans include unlimited users. New accounts get one free PDF-to-ESX conversion.

Section 6: Red flags

  • [ ] Vendor quotes a general accuracy percentage it cannot back up
  • [ ] Output only exists inside the vendor's portal
  • [ ] No clear human approval step
  • [ ] Demo uses a sample job you cannot reproduce

Section 7: Your own test

xactimate line item search
  1. Pick three closed jobs with known final payouts.
  2. Run them through each tool.
  3. Time upload, draft and review separately.
  4. Compare drafts to what was paid and note every missing item.
  5. Have your lead estimator score each draft.

Notes

AI estimating software does not replace your estimator. It changes their day from typing to reviewing. Pick the tool that makes that review fastest and keeps the final call with your team.

Revisit this checklist after the first month of real use. The answers that looked fine in a demo, like review speed and how often the draft asks questions, are the ones that decide whether the tool stays.
